Here's a rapid fire summary of your first interaction with a potential client. This is covered in the Jess 101 video, and also the Sample Client Start to Finish, but here it is again....

Email templates for travel planning business
You've got mail

Inquiry from client

You received an email or phone call from a client requesting info about your services. If the lead came in via email, you should immediately send the client a response via email using your go-to initial client email template. Just fill in their details. Answer specific questions they might have asked, and provide a link to any pertinent pricing, rules, or additional info from your website. Some of these initial questions can be answered for you if you set up a form on your Wix site or use jotform.

Also, you need to include a link to your calendar, Jess uses calendly. This way they can set up a phone call with you. The phone call is very important. You must make sure this is a legitimate travel customer request, and that they can afford your services, and obey your terms of service.

If the inquiry came in via phone skip to the next phase.

Have an initial phone call with the client

Establish a rapport with the client. See if you're a good fit for their needs. Explain your fees and expectations. Explain your process and learn a little about their trip. Don't go crazy here, this is just a sales pitch. You'll get further details later. After this call, send them an email with your full payment instructions. This will include the amount they need to pay and how to pay it. Jess uses all forms of electronic payment. You can use Traveljoy's included invoice generator or simply send a paypal invoice, or venmo/zelle request. Reminder, Jess charges $99/per travel day at the time of this writing, but you should charge whatever you like.

Client interview for your personal travel advisor business
Facetime or regular phone, either way

Set up a client interview call

Only after they have paid their fee do you continue to work on their project in any way. This is a mandatory 30-45 minute phone interview where you get all the info you need about their trip. You'll figure out their likes and dislikes, and what kind of traveler they are. Here's a link to another Jess article for more specifics how to approach this. You should either take down the client detail info on this call or send them a form to take care of it later. You'll need names, dates of birth, and passport info (if necessary) on anyone going.

Enter their info into Traveljoy.

Research phase begins

At this point you are off and running developing their first proposal, and actually doing what you like doing.
